When secure online inquiry submission is available, Ustaff360.ca uses the information you provide to respond to your inquiry and contact you about the service you requested. The website server validates the request, records limited delivery metadata, and sends the inquiry to our shared mailbox through PurelyMail. The website hosting provider processes the request before email delivery. Before this flow is activated, the hosting provider, processing location, and applicable service-provider safeguards must be confirmed.

The local delivery record is limited to an inquiry ID, timestamp, lead category, source, delivery status, retry information, designated ownership metadata, and an HMAC-derived pseudonymous client fingerprint used for rate limiting and abuse control; the raw IP address is not stored. Rate-limit events are pruned after the 24-hour abuse-control window, while the fingerprint attached to an inquiry follows the inquiry record's schedule. The inquiry record is normally kept for up to 30 days for reconciliation and then deleted or minimized. Encrypted message content is retained while delivery is retried and removed after email acceptance. After a delivery failure, it may be retained only for bounded reconciliation for up to 30 days, then deleted or minimized. Mailbox retention and deletion procedures must be established and verified before activation. If an inquiry becomes an approved client or care relationship, the applicable process and retention rules replace this website-inquiry schedule.

4. UCon360 Pilots and Separately Provisioned Systems

UCon360 remains an early-stage platform and is not activated for a client merely because it is described on this website. Before a pilot or another separately provisioned system receives client data, the applicable service agreement or pilot scope must identify the approved sources, purposes, providers, processing locations, permissions, safeguards, retention, deletion, support, and responsibilities.

Depending on that scope, processed information may include authorized emails, messages, documents, spreadsheets, PDFs, shared files, meeting content, file or message metadata, and other operational records. The system may create derived records such as extracted work items, status or exception signals, search indexes or embeddings, answers, workflow observations, source references, system logs, and human-review notes. These records may be used to organize and search approved information, evaluate the pilot, identify patterns or blockers, support workflow review, and present context to authorized people.

Material interpretations and consequential actions remain subject to the human-review process defined for the pilot. Selected hosting, integration, model, or other service providers may process source or derived data only as stated in the approved scope. Retention and deletion periods for source data, derived records, indexes, logs, and backups must be defined before the connection is enabled.
